Weekly team meetings with a set agenda that end in decisions

A recurring team meeting with a timed agenda, the real numbers on screen, and a summary everyone can find afterwards.

Most weekly meetings drift. They start late, wander into whatever’s loudest, and end without anyone writing down who’s doing what. A sync in Clarion is a meeting with a shape: the same steps in the same order every week, the team’s actual numbers and goals on screen, and a summary at the end that lands somewhere people will see it.

Set it up once

Create a sync with a name, a cadence — daily, weekly, bi-weekly or monthly — a day, a start time and a length. Attach it to a team, or make it company-wide so everyone takes part. From then on it sits on the Syncs page, ready to start.

An agenda that does the work

Every new sync starts with six steps, each with a suggested time:

  1. Scorecard (10 min) — review the numbers and flag anything off target.
  2. Wins & Notables (5 min) — good news and anything the team should hear.
  3. Milestone Updates (10 min) — check progress on the quarter’s goals.
  4. Action Items (5 min) — review to-dos and capture new ones with owners and dates.
  5. Challenge Discussion (15 min) — vote on what matters most, then work it.
  6. Summary (5 min) — wrap up, rate the meeting and post the summary.

None of it is fixed. Rename a step, change its time, move it up or down, or add your own discussion steps. Change the agenda for one sync, or — if you’re an owner or admin — set the starting agenda every new sync in the company gets, under Settings → Sync Agenda. The agenda doc has the details.

Any step can carry briefing content: notes, a checklist to work through, a table, images. It shows above that step during the meeting, so the context is there when the team gets to it.

The real data, live

Each built-in step shows the live thing, not a copy. The scorecard step is your team’s metrics, and an owner can fill in a missing value right there. The milestones step is your milestones, with status changes saved as you make them. The challenges step is the team’s challenge list, with voting, so the biggest problems rise to the top. New action items go straight onto the owner’s list.

When something comes up mid-discussion, Quick Add is in the header — capture a challenge or action item without leaving the step.

One facilitator, everyone on the same step

Press Start Sync and the meeting goes live: an elapsed timer, who’s in, and a progress bar across the steps. Whoever started it facilitates and moves through the agenda. Everyone else presses Join Sync and follows along on their own screen, landing on whatever step the meeting is on. It works whether you’re in one room or on a video call.

A summary that goes somewhere

The last step totals up the session: how many metrics were reported, how many are on and off target, and how many action items were created. Each attendee rates the meeting from 1 to 10, and the average tells you whether the format is working.

For a team sync, the Wins & Notables and the summary are posted to the team’s Hub, so people who missed the meeting can catch up in one place. Past sessions stay on the sync with their summaries.

Run it well

The tool gives you the structure; the habits are yours. The guide to running the weekly sync covers timing, facilitation and what to do when the challenge list is longer than the time left. For attendees, preparing for your sync is a five-minute read.
