How to create a quarterly milestone in Clarion

Create a milestone in Clarion with a title, owner, due date and definition of done, then edit, reorder and track it in list or Kanban view.

A milestone is a goal for the quarter with one owner, a due date and a clear definition of done. Milestones belong to a team, and anyone who can open that team’s Milestones page can create one.

Create a milestone

  1. In the sidebar, under Teams, open the team the milestone belongs to and click Milestones.
  2. Click Add Milestone.
  3. In the New Milestone dialog, fill in:
    • Title (required) — the outcome, e.g. “Launch v2.0 marketing site”.
    • Description — what the milestone achieves and why it matters.
    • Definition of done — what finished looks like, specific enough that nobody can argue about it.
    • Assignee — the one person who owns it. Leave it Unassigned only for a moment.
    • Due Date — usually the end of the quarter, or earlier.
  4. Click Create Milestone.

The milestone is added to the team whose page you’re on, at the bottom of the list, with the status On Track.

If the quarter’s milestones already live in a spreadsheet, import them instead of retyping.

Edit a milestone

Most fields edit in place on the list:

  • Click the title to rename it. Press Enter or click away to save.
  • Use the owner dropdown under the title to reassign it.
  • Click the date to change the due date.
  • Click the row to expand it and edit the Definition of done. It saves when you click away.

To delete a milestone, hover over its row, click the trash icon and confirm Delete this milestone?. Its subtasks are deleted with it; the action items they created stay on the Action Items page.

Break it into subtasks

Expand the row and click Add subtask to list the steps. Each subtask becomes an action item for the milestone’s owner, and the milestone’s progress bar follows how many are done. See Add milestone subtasks.

Order, filter and view

  • Reorder by dragging a row by its grip handle. Put the milestones that matter most at the top. Completed milestones can’t be dragged — they sit at the end, most recently finished first.
  • Search with Search milestones….
  • Filter with the status menu. It starts on All Open, which hides completed milestones. Choose All Statuses, On Track, Off Track or Completed to change it.
  • Switch views with the list and grid icons. The Kanban view groups milestones into Not Started (no progress yet), In Progress and Completed.

The page header shows how many milestones the team has and how many are on track.

See your sub-teams’ milestones

If the team has sub-teams, a Team Roll-Up section appears under your list, with a card for each sub-team showing how many of its milestones are on track and off track. Click View on a card to open that team’s milestones. See Create teams.

Next steps

  • Set the status each week: Update milestone status.
  • Review milestones in your weekly sync — the default agenda has a milestones step.
  • Make sure each milestone traces back to the 90-day goals on your vision board.

The team member guide on owning a milestone covers what’s expected of the person whose name is on it.
