How to schedule a recurring team sync

Schedule a recurring sync in Clarion. Choose a daily, weekly, bi-weekly or monthly cadence, a day and time, and the team that takes part.

A sync is a recurring team meeting run inside Clarion: the scorecard, milestones, action items and challenges on one guided agenda. You set a sync up once, and then start it each time the team meets.

Create a sync

  1. Click Syncs in the sidebar.
  2. Click New Sync.
  3. Fill in the New Sync dialog:
    • Name: something the team will recognise, such as “Leadership weekly” or “Ops Monday sync”.
    • Cadence: Daily, Weekly, Bi-weekly or Monthly.
    • Day: Monday to Friday.
    • Team: the team that holds this meeting. It defaults to the team you’re currently viewing.
    • Time: when the meeting starts.
    • Duration (min): how long it runs. The default is 60.
  4. Click Create Sync.

The new sync appears as a card on the Syncs page with its next date and time, cadence, team and participants.

How the next date is worked out

Clarion shows the next occurrence on each sync’s card:

  • Daily: tomorrow.
  • Weekly: the next occurrence of the chosen day.
  • Bi-weekly: the chosen day every other week. The alternate weeks are fixed, so everyone sees the same date.
  • Monthly: the first occurrence of the chosen day in the following month.

The date is a reminder of when the team meets. A sync doesn’t start on its own. Someone opens it with Start Sync when the meeting begins, so you can run it early, late, or on a different day when you need to.

Choose who takes part

A sync’s team decides who is in the meeting. Only that team’s members appear as participants and are asked to rate the meeting at the end. Wins and notes from the sync are posted to that team’s Hub.

To change it later:

  1. Click the settings (gear) button on the sync’s card.
  2. Under Team, pick a different team, or choose Company-wide (everyone).

A company-wide sync includes everyone in the company. Because the Hub belongs to a team, a company-wide sync keeps its summary with the sync’s past sessions instead of posting it to a Hub.

If the right team doesn’t exist yet, create it first.

Set the agenda

Every new sync starts with your company’s default agenda: six built-in steps covering the scorecard, wins, milestones, action items, challenges and a summary. Open the sync’s settings to rename, re-time or reorder steps, or add your own. See Customize the sync agenda.

What the settings panel shows

The same panel lists the Next Session, the Cadence, the participants, the agenda, and Past Sessions, each with a one-line preview of its summary and the average meeting rating.

When it’s time to meet, see Run a live sync. For running the meeting well, read how to run the weekly sync.
