Every sync in Clarion runs from an agenda: an ordered list of steps the facilitator moves through. You can shape that agenda in two places:
- The company default in Settings, which every new sync starts with.
- A single sync’s own agenda, which changes that meeting only.
The built-in steps
New syncs start with six built-in steps:
| Step | Default time | What happens |
|---|---|---|
| Scorecard | 10 min | Review the numbers and enter this period’s values. |
| Wins & Notables | 5 min | Capture good news and anything the team should hear about. |
| Milestone Updates | 10 min | Review and update milestone progress. |
| Action Items | 5 min | Capture to-dos with owners and due dates. |
| Challenge Discussion | 15 min | Review, vote, escalate and resolve challenges. |
| Summary | 5 min | Wrap up, rate the meeting, and post the summary to the Hub. |
Built-in steps can be renamed, re-described, re-timed and moved, but not deleted. A lock icon marks them. Each one is how the meeting reaches its panel, so removing the Scorecard step would take the scorecard out of the meeting entirely. Steps you add yourself can be removed.
Edit one sync’s agenda
- Click Syncs in the sidebar.
- Click the settings (gear) button on the sync’s card.
- Scroll to Agenda. For each step you can:
- Edit the title and the description (“What this step is for…”). Changes save when you click away.
- Change the minutes. The live sync shows each step’s time next to the step counter.
- Use the up and down arrows to reorder it.
- Click Add content to attach a briefing (see below).
- To add a step, type a title in Add a discussion step… and click Add.
- To remove a step you added, click its trash icon.
Changes here apply to this sync only. The company default isn’t touched.
Edit the company default agenda
Owners and admins can set the agenda that new syncs start with.
- Open Settings and choose Sync Agenda.
- Under Default Sync Agenda, edit, reorder and add steps the same way as above. New steps go in through Add a step every new sync should start with….
- To start over, click Reset to built-in steps.
Syncs that already exist keep their own agendas. Editing the default only affects syncs created afterwards, so a team that has tuned its agenda won’t have it overwritten.
Attach content to a step
Any step, built-in or custom, can carry content: a briefing, a checklist, an image, a table. It’s shown above the step’s panel for everyone in the meeting.
- On the step, click Add content.
- Write in the editor. It has the same toolbar as knowledgebase articles: headings, lists, task lists, tables, images, code blocks and links.
- Click Save content.
Clearing the editor and saving removes the content.
What custom steps do in the meeting
A step you add shows its title and description, any attached content, and a Notes box. Notes taken there are saved with the sync summary when the meeting ends, under the step’s title, and, for a sync that belongs to a team, posted to that team’s Hub along with the rest of the summary.
Ideas for custom steps
- A five-minute customer or employee feedback round.
- A recurring review of one process from the knowledgebase, with the article linked in the step content.
- A pre-read for the quarter, attached to the first step.
