How to give advisors and consultants access in Clarion

Give an outside advisor, coach or contractor access to Clarion, or give your firm's staff access to client companies — and what each option grants.

Advisor access covers two situations:

  • An outsider joining your company — a business coach, a fractional CFO, a freelance designer.
  • Your firm’s staff working inside client companies — if you’re a consultant or agency running clients in Clarion.

Both are set up by Owners and Admins.

Invite an outside advisor or contractor

  1. Go to Company Settings → Team & Permissions and click Invite Member.
  2. Enter their email and choose Advisor (coaches, consultants) or Contractor (freelancers, agencies).
  3. Under Pre-assign to teams, pick only the teams they work with.
  4. Click Send Invite.

Step 3 matters. Anyone invited without a team is added to Leadership, which includes your vision board and leadership’s milestones and metrics. If that’s right for a coach who works with your leadership team, leave it; for a contractor helping marketing, pick Marketing.

Once they accept, they’re tagged External in your member list. They don’t get the Dashboard or Syncs links; Clarion opens their team’s Hub, and they work from their team’s pages.

Be clear about what the role does today. Advisors and Contractors have the same permissions as Full Access members: they can create and edit milestones, metrics, challenges and action items in the teams they’re on. The role mainly labels them as outside the company. Limit what they can reach by limiting their teams. See Roles and permissions.

To change an advisor’s teams later, click their row in Team & Permissions and switch teams on or off under Team Membership. To end their access, click the trash icon on their row.

Give your staff access to client companies

If you run client companies, your own people need access to the clients they serve. Work from your firm’s company, not the client’s.

One client at a time

  1. Go to Company Settings → Team & Permissions in your firm’s company.
  2. Click the staff member’s row to expand it.
  3. Under Client Company Access, switch on each client they work with.

They’re added to that client with the Full Access role and put on its Leadership team. Switching a client off removes them from it.

Alternatively, in Settings → All Companies, click Members on a client’s row, choose the person from Add a user…, pick a role — Admin, Full Access, Advisor or Contractor — and click Add. Use this when you want a role other than Full Access.

Every client, including future ones

In the same Client Company Access panel, switch on All Clients. The person is added to every existing client, and to each new client the moment it’s created.

  • All Clients is available for Owners, Admins and Full Access members — not for Advisors or Contractors.
  • They get the same role in each client as they have in your firm, except that Owners become Admins.
  • While All Clients is on, the individual client switches are locked.
  • Switching it off removes them from every client they were added to this way. Access you granted client by client is kept.

Seeing all your clients at once

Staff with access to several clients can switch between them with the company switcher at the top of the sidebar. Owners and Admins can also open All Companies from the bottom of the switcher to compare health scores, milestones, metrics and challenges across every client. See Manage client companies and the advisor view.

The consultant guide on monitoring your client portfolio covers a weekly routine for reviewing clients.
