Roles and permissions in Clarion

What each Clarion role can do — Owner, Admin, Full Access, Advisor and Contractor — which areas are admin-only, and how team membership limits what people see.

Everyone in a Clarion company has one role. You set it when you invite them and can change it later in Company Settings → Team & Permissions. People sign up and sign in at app.onclarion.com; their role applies inside each company they belong to, so the same person can be an Admin in one company and an Advisor in another.

The five roles

Clarion shows five roles: Owner, Admin, Full Access, Advisor and Contractor. In practice they make up two levels of permission.

Company Settings (company details, categories, sync agenda defaults)YesNo

Integrations: API keys, webhooks, embedded apps, Dispatch Tickets, metric pull-from-URLYesNo

Full Access, Advisor and Contractor have the same permissions today. An Advisor or Contractor can create and edit the same things a Full Access member can, in the teams they belong to. The Role Guide panel in Team & Permissions describes Advisors as able to edit only items assigned to them; that limit isn’t enforced yet. If you need to keep an outside person away from something, keep them off that team rather than relying on the role.

Owner and Admin

Owners and Admins run the company’s setup. Only they can open Company Settings — it’s in the menu under your name at the bottom of the sidebar — which covers company details, people, teams, categories, the default sync agenda, and integrations.

The few differences between the two:

  • Only an Owner sees the Account Type card in Company Settings, which switches the account between Company and Consultant.
  • In Settings → All Companies, only an Owner sees the delete button on a company’s row.

Admins can do everything else an Owner can, including changing other people’s roles.

Full Access, Advisor and Contractor

These roles do the work: own milestones and metrics, raise challenges, complete action items, post to the hub and write articles. The differences are in what Clarion shows them, not what they’re allowed to do:

  • Full Access members get a Dashboard covering the teams they belong to, and a Syncs link in the sidebar.
  • Advisors and Contractors don’t get Dashboard or Syncs links. Clarion opens their team’s Hub instead, and they work from their team pages and the Action Items page.
  • Advisors and Contractors are tagged External in the member list. Owners, Admins and Full Access members are tagged Internal.

Use Advisor for coaches and consultants, and Contractor for freelancers and agencies, so the member list makes clear who is outside the company. See Advisor access.

Teams decide what people see

Owners and Admins can open every team. Everyone else sees only the teams they’ve been added to — in the sidebar, on the dashboard, and when opening a team’s pages. Someone on no teams sees a message asking them to contact their admin.

People invited without a team are added to Leadership, your default team. Pre-assign teams when you invite anyone who shouldn’t see leadership’s milestones, metrics and vision board. See Create teams.

Choosing a role

  • One or two Owners — usually the founder.
  • Admin for whoever sets up teams, people and integrations, often an operations lead.
  • Full Access for employees.
  • Advisor or Contractor for people outside the company, on only the teams they work with.

The people guide on defining roles and responsibilities covers the related question of who owns what.
